How Much is “We’ve Always Done It This Way” Costing Your Business?

You probably know exactly which side of the office printer you have to hit to make it stop jamming. You might also know exactly which shared spreadsheet has the client data from four years ago buried in it. There is comfort in what we know, even when it’s frustrating. But here is the reality: comfort is the enemy of efficiency.

If you are still running your business using the same habits from a decade ago, you are actively falling behind. Every minute you spend fighting old software or hunting for physical files is a minute you aren’t helping your clients. It really is that easy to see. Let’s look at three old habits you need to drop, and the easier way to handle them.

Stop Using Your Inbox as a Filing Cabinet

We see this all the time. Someone needs a contract from a vendor, so they spend twenty minutes digging through their email to find a message from six months ago. When they find it, they forward it to three other people. Now, you have four different versions of the same conversation floating around.

Email is a way to talk to people, not a place to store company data. If you rely on individual inboxes to hold important files, you are begging for a disaster. What happens if that employee accidentally deletes the thread, or leaves the company?

The Better Way:
You need a centralized, cloud-based storage system, like Google Drive or SharePoint. Think of it as a single, secure digital filing cabinet that everyone in the office shares.

You need to make clear folders. No one should have to guess where a financial report goes.

Share links, not files. If a document comes in an email, save it to your cloud storage first. Then, send your team a link to that saved file. Everyone stays on the exact same page.

Stop Tracking Sales on Sticky Notes and Spreadsheets

If you are keeping track of your potential clients using a shared Excel spreadsheet, or worse, a wall of sticky notes, you are losing money. Spreadsheets don’t remind you to call someone back. They don’t track if a prospect finally opened your proposal.

The Better Way:
You need a Customer Relationship Management (CRM) tool. You don’t need the most expensive, complicated software out there. You just need a digital assistant that keeps your contacts organized.

Keep your reminders automated. A good CRM will ping your team and tell them exactly who needs a follow-up call today.

See the big picture. With a few clicks, you should be able to see how many deals you closed this month. If you can’t easily measure your progress, you can’t improve it.

Stop Thinking You Are Too Small for Hackers

“We’re a small business. Nobody wants to hack us.”

If I had a nickel for every time I heard that, I’d buy a private island. Cybercriminals don’t care about your size. They actually love smaller targets because they know you probably haven’t updated your security in years.

Being a victim of a scam isn’t your fault, but leaving the front door wide open kind of is. Waiting for a hack to happen before you take security seriously is like waiting for a fire to start before buying a fire extinguisher.

The Better Way:
You need a layered defense to protect your data.

  • Turn on Multi-Factor Authentication (MFA). Your first step should always be to require a second step to log in, like a code sent to your phone. Turn this on for every single account your team uses.
  • Train your people. Scams are getting incredibly realistic. Your team needs to know how to spot a fake email before they click a bad link.
  • Get a real backup. If a hacker locks your computers, you need to be able to wipe them clean and restore everything from a safe, tested backup. (And no, old tape backups don’t count anymore.)

Why Making the Switch Matters for Your Business

I get it. Learning new technology takes time. Your team might grumble about having to learn a new system.

Look at the alternative. If you stick with the old ways, you will keep bleeding time and money, and your competitors will eat your lunch. The process is actually pretty simple once you lay it out: find the roadblocks, pick the right tools to clear them, and commit to the change.

There’s no shame in asking for help to get this done. We can look at how you work now and build a map to make your days a lot easier.
